How to create a OneNote calendar template


If you’ve always wanted to save time, there are many benefits to creating a Microsoft OneNote calendar template. It gives the pages a cohesive look and allows you to structure different types of notes. You can create a monthly calendar to track projects and attach files to them. Or, make a planner for weekly activities.

Unfortunately, the tool to create a calendar is missing in OneNote. But using built-in features and add-ons, we’ll show you five different ways to create a OneNote calendar template.

1. How to create a calendar template in OneNote

Paper notebooks, such as tri-ring binders, use dividers to create sections and have pockets that you can fill with loose sheets of paper. OneNote uses a similar organizational setup. Each notebook is made up of sections and can contain many pages.

While creating a calendar in OneNote is almost as easy as editing a Word document, you need to choose the right layout to ensure that your calendar works smoothly.

  • Existing or new notepad: In most cases, you will find it easy to manage your calendar in an existing notebook.
  • Potential use: Do you want to create a calendar to follow personal projects or collaborate with your team? You need to create a separate notebook for teamwork.
  • Cell spacing: If you want to write notes or attach files in a cell, it is better to keep adequate spacing when creating a calendar.

Insert table

First, we will create a new page. In OneNote 2021, click the + Add a page button or press Ctrl + N on the keyboard.


To create a table, click on the Insert tongue. Click it Chart drop-down arrow and drag your mouse over the boxes to select the rows and columns you want in the table.


Make a table with five rows and seven columns. Four of the lines correspond to weeks of a month. There is an additional row for titles. And if you notice carefully, every time you click on the table, OneNote reveals a Chart menu with all the tools related to tables.


Fill in the table

Place your cursor in the first box on the top row and type Monday. press the Tongue to move to the next cell and continue adding the rest of the days of the week. Then enter the dates for that month.


To adjust the column width, hover your pointer over the border until you see the double-headed arrow and drag the border. Although you cannot resize the lines, it will automatically adjust based on the size of the text they contain.

Format the table

You can change the appearance of your table text and apply formatting as needed. Click the first cell in your table, then drag your pointer to the end of your table. Then press Ctrl + B to make the text of the entire line bold.

Let’s apply cell shading to make it look attractive. Select the cell (s) you want to format. Click it Chart tongue. Then, from Shadows drop-down menu, choose a color you want to apply. Cell shading only affects the background behind the cell content.


Save your calendar as a custom OneNote template

As of 2013, you will no longer find quality templates in OneNote. But you can improvise and make your own by making a template from the basic timeline you just created.

From Insert tab, click Page Templates and choose the Page Templates option.

Click on Save current page as template. Type the name and you can optionally set it as the default template for new pages in the current section. It will save you time if you create a new OneNote calendar every month.


2. Modification of an existing model

If you want to make changes or edit a template that you download from the web, OneNote lets you easily edit those templates.

Go to Insert tab and click Page Templates. In the drop-down menu, click on the Page Templates possibility of showing the Templates task pane.

Click on the small drop-down arrow next to My models and select the template you just saved. This action opens a new blank page and applies the template you have chosen. From there, enter the name of that version of the template and save it.


3. Import a calendar image

You will find lots of free calendar templates for Microsoft Office with different designs and types (e.g. business, school, parenting etc.). Since OneNote allows you to easily import images, this cuts down on the time it takes to create a template.

To insert an image, click on the Insert tab then Pictures. In the dialog that appears, navigate to the folder and select your image. You can also hover your pointer along the edges and take the screenshot of the image.

When OneNote inserts the cutout on the page, you can’t start adding tasks or events right away. Right click on the image and choose Set image as background. Click anywhere in the table cell and type some text.

The only downside to this method is that you can’t resize the columns, so you’ll have to keep the notes short.


4. Insert a calendar with Onetastic macros

Onetastic is a useful add-on that increases OneNote’s capabilities to perform complicated tasks. For example, you can view and manage a notebook page with OneCalendar, or crop an image with custom dimensions.

You can take advantage of page management features, such as adding important pages to your favorites list, and setting custom styles to quickly format your page text. Onetastic is available in 32-bit and 64-bit, so download the add-in for the version of OneNote you’re using.

Note that the OneNote Windows 10 app doesn’t support third-party add-ins like Onetastic.

Using macros to insert a calendar

Onetastic’s great functionality is made possible by macros, which are small pieces of executable code that perform repetitive tasks. You can find and download macros for OneNote.

Click it Macro tab (if you don’t see this tab, go to Settings> Show in separate tab) then Download macros.


You can find macros to create a monthly or yearly calendar with a to-do list and a weekly planner.


Insert a monthly calendar: Insert a calendar of the selected month and year. Choose the first day of your week and the color of the header.


Monthly calendar with to-do list: Insert a calendar with the task list. Select the color and width for the header and weekend columns.


Manage notebooks with OneCalendar

As your OneNote notebook grows, so will the number of pages. It becomes more and more difficult to follow them on the date of creation or last modification. With OneCalendar (which is part of the Onetastic add-in), you can cycle through the calendar in order, from days to weeks or months.

To launch it, click on the Homepage tab then Launch OneCalendar. If you are using the utility for the first time, you will be asked to set the default language. In the lower right corner, change the period to months, weeks, or days. And in the upper right corner, select the corresponding year and month.

Then click on the hyperlink representing the page you want to view. The add-in is fully customizable. Click it Settings button to change the font size, display pages based on creation or modification date, notebooks to include in the display and the ability to see page previews on hover.
